Marketing teams still get burned, usually by list decay rather than by cold sending. A newsletter that mails a three-year-old list after a long pause behaves like a cold sender, complete with bounces and complaints. Should You Use a Separate Domain for Outbound?

Yes. Send cold outbound from a separate domain, so a filtering problem never touches the domain your business runs on. Your main domain carries your invoices, support replies, password resets, and every signature in the company. That reputation is an asset you cannot quickly rebuild.

The standard setup is a lookalike domain. If your company lives at acme.com, you register tryacme.com or acmehq.com. Point the new domain at your main website and authenticate it properly. Then you create two or three mailboxes on that domain and warm each one individually. Your email response rate is the steadiest signal, because a reply cannot be faked by a privacy proxy. Healthy cold sequences during warmup should keep replies above 3 to 5 percent. Your email open rate is noisier since privacy features inflate it. Even so, a sudden drop from 50 percent to 15 percent means placement collapsed. Meanwhile, your email bounce rate should stay under 2 percent throughout the ramp.

For Gmail specifically, open the Postmaster Tools account you registered before launch. Watch the domain reputation panel move from unknown toward high. It updates slowly, but it is the closest thing to Google grading your homework.

Warning signs are just as clear. Take these seriously the week they appear:

  • Opens fall off a cliff. A one-week drop of more than half usually means you moved from inbox to spam.
